° Privacy policy for the Oktobus app
Effective date: 9 September 2026
The short version. Oktobus has no server of its own. The app enrols with the backend your operation points it at and sends everything you record only there. Whoever operates that backend is responsible for your data, normally your employer.
No advertising, no analytics or tracking software, no location tracking.
1. Who is responsible for what

Where 36T Solutions GmbH runs the backend on behalf of an operation, it acts on that operation's instructions as a processor. The one exception is the demo backend in section 6.

2. What stays on the phone
- The device token from enrolment, in the phone's secure keystore, not in ordinary app storage.
- The address of the backend the app is connected to.
- Forms not yet sent, including their photos and voice notes, until they have been delivered. That is how nothing is lost in a depot without reception.
That is the complete list. The app contains no analytics, crash-reporting or advertising SDK, collects no advertising identifier and sets no cookies.
3. What the app sends, and only where
Everything the app sends goes to the backend it is connected to, and nowhere else. The connection is encrypted in transit (TLS).
What travels there:
- Name and internal driver ID. Both are assigned by your office when the account is created; there is no self-registration.
- The device or session token created when the phone is enrolled.
- Vehicle data: licence plate, odometer readings, trip type, refuelling and AdBlue flags, the answers to the pre-departure inspection checklist.
- Damage and accident descriptions and free-text notes.
- Photos you take or select for reports.
- Voice recordings you make for reports.
- Timestamps of submissions.
Not collected: location or GPS data, contacts, advertising identifiers and usage analytics.
What the backend operator uses this data for, such as inspection records, the logbook and the workshop, and how long it keeps it, is set out in its own privacy notice to employees.
4. App permissions and why

No permission is used for any other purpose. If you deny camera access, you can still enter the vehicle manually.
5. Accounts, deletion and your rights
Accounts are created and removed by your office. There is no account creation inside the app. When the office de-registers your phone, the device token is deleted.
You have the right to access the data held about you, to have it rectified or erased, to restrict its processing, to receive it in a portable format, and to object to its processing. Exercise these rights with the operator of your backend, normally your employer, because that is where the data lives. You may also complain to the data protection supervisory authority for your place of residence or work.
6. The demo backend operated by 36T Solutions GmbH
For demonstrations and for review by the app stores, 36T Solutions GmbH operates a demo backend of its own on servers in Finland, inside the EU. Only if you connect the app to that demo backend is 36T Solutions GmbH the controller in the ordinary sense. It holds no data of real operations, and whatever is recorded there serves the demonstration only. Write to info@36t.solutions and your demo entries are deleted.
7. Children, changes, contact
The app is not directed at persons under 18.
This policy may be updated. The current version is always at this address, and the date at the top changes with it.
