An animal-nutrition consultancy replaced one spreadsheet per consultant with a single system, and management now sees everyone's work without waiting for e-mails.
The starting point
Consultants built diets for dairy farms in a large spreadsheet full of formulas and macros, and each one kept their own copy on their own computer. Every month each consultant exported the data and e-mailed it, and management pieced it together by hand; some forgot to send it or sent the wrong data. A feed added by one consultant didn't show up for the others, and the spreadsheet offered little protection against mistakes.
What we changed
We moved diet formulation into Odoo, with two parts built to measure: a single feed list with all the nutritional information, and a diet screen that warns when something is out of range, compares with the previous diet and produces the reports for the farmer. Each consultant sees their own customers, coordinators see their team and management sees everything. We brought the consultants' spreadsheets into the system, and a monthly export in the old format still feeds the company's management reports. The system runs on the client's own server, which we look after remotely.
The result
- ° Around 10,000 diets, thousands of feeds and over 600 customers, each with their responsible consultant, in one database.
- ° More than 20 consultants with their own login to the same system.
- ° Hundreds of diets created directly in the system in the first month of use.
- ° Hundreds of automated checks before every update.
